Job Description:
This role is a key support position for the company working as the ‘right-hand’ to the CEO and acts as an ambassador of the organization and must exemplify our company culture. The CEO’s office specifically is very fast-paced, with an entrepreneurial approach to the daily management of our business. You must be able to multi-task in order to handle a multitude of short and long-term projects; with at times, competing and conflicting levels of priority.
Primary Responsibilities:
Maintain calendars – arrange, coordinate and prioritize complex scheduling and logistics.
Provide telephone coverage – answer executive phones, take accurate messages, know executive’s whereabouts at all times, handle urgent calls with appropriate judgment.
Arrange (including selection of date, time, and location) internal and external meetings (internal meetings typically require extensive coordination).
Conduct extensive online and off-line research as requested.
Compose and type agendas and correspondence for special events, board meetings, committee meetings and development activities.
Responsible for handling all travel arrangements (domestic and international) including hotel accommodations, airline reservations, rental cars, off-site meeting venues.
Arrange special meeting facilities (e.g. food, PC projector, etc.); send meeting confirmation emails; prepare and distribute meeting materials.
Prepare various materials when requested, using PowerPoint, Word, and Excel.
Desired Skills & Qualities:
Your primary skill will be a superb organizational ability because you have to manage the CEO’s office. However, to prove yourself really valuable to senior management you’ll have to be very flexible and possess outstanding problem solving skills.
Must be able to communicate articulately, clearly and concisely (verbal and written) Fluency is required in Russian, Romanian and English.
Additionally, you must be able to maintain the highest level of professionalism when speaking with our clients on behalf of the CEO. As a gatekeeper to the CEO, you will redirect inquiries to other departments whenever possible and ensure they are followed through to completion.
Higher education (master degree in an advantage)
Willingness to irregular working schedule;
Is desirable to own a car and a driving license cat. "B"
Willingness to travel to Moldova and abroad.
